Role Summary:

The Communications & Development Coordinator will report to the Director of Communications and is responsible for the organized and timely delivery of a variety of tasks in support of The Max Foundation’s mission to accelerate health equity. The role will support both the Communications (60%) and Development (40%) departments. Working with Communications, the Coordinator will focus on our global communications calendar, social media campaigns, project tracking, maintaining branded resource library and media files, and providing web development and campaign support. Working with Development, the Coordinator will assist with donor database management, donor analytics, gift resolution, and reporting. This position will perform a critical role in the event planning and coordination of organizational fund-raising and stewardship events. The role will provide additional support to the Development team’s donor cultivation efforts by creating stewardship materials and working on ad-hoc projects. The position serves as a critical administrative and organizational role for both departments by coordinating calendars and global mailings, facilitating meetings and trainings, and stewarding communications.


Responsibilities:

Coordinate global communication calendar of events in collaboration with HQ & Regional teams and facilitate action items, as needed; Support various communications initiatives by: cataloging story pipeline, archiving photos, collecting media consent forms, and more
Support the creation, posting, and impact reporting of social media campaigns on LinkedIn, Facebook, and Instagram among others
Track Communications Department budget
Provide project management support to overall communications team including tracking progress of key projects
Coordinate engagement (meetings, outreach, etc.) of HQ Communications team with Region colleagues to support execution of global communications strategy
Help maintain donor database software (Virtuous and Classy), continually updating records to ensure accurate and up-to-date information, and serve as organizational subject matter expert in the systems
Curate branded content and update branded resource repository
Assist with web development projects and campaigns
Provide back-up assistance to process donations and generate timely acknowledgements for all gifts
Support the planning and coordination of fund-raising and stewardship events in alignment with organizational goals
Assist with oversight of volunteer program by recruiting, training, and managing volunteer projects
Schedule calls and meetings, as requested; serve as owner of standing group calendars and meetings
Take meeting minutes in group meetings, communicate action items to team-members, and circulate minutes; coordinate and track progress for various team projects and goals
Work with printers and vendors to order collateral and other branded materials
Cross-train in international mailing procedures and support global mailing needs for Dev/Comm team, ex. Max-A-Thon swag
Support in onboarding of new team-members including preparation of departmental info packets and scheduling orientation meetings; Train new team-members on organizational tools, like Virtuous and Classy
Other duties as assigned


Qualifications:

Bachelor’s degree, 2-3 years of nonprofit communications/development/fundraising experience
Proficient expertise with donor management software, Virtuous experience preferred
Proficient in MS Office Suite, including MS Excel and MS Word
Strong attention to detail and organizational skills, and able to manage multiple tasks simultaneously
Flexibility and adaptability in a fast paced, growing organization
Collaborate effectively with team-members across all departments
