Role Summary:
The VP, Administration/CFO reports to the CEO and leads all facets of our global Human Resources, Accounting, Information Technology, Administration, and Facilities efforts in support of our organizational mission to accelerate health equity. This position is responsible for providing overall leadership and direction, developing and implementing a multi-faceted strategy in these functional areas, as well as managing a cross-functional team. The VP, Administration/CFO serves as the primary leader supporting the CEO for strategies designed to ensure a robust organizational and financial structure to support the health and growth of the organization.
Responsibilities:
Provides overall leadership and direction for HR, Accounting, IT, and Administration functional areas; offers strategic thought partnership to the CEO and executive team
Serves as Chief Financial Officer for the organization
Presents to and engages with the Board of Directors on a variety of business and financial matters serving as the organizational subject matter expert
Develops and executes strategic and functional team plans, in alignment with organizational goals
Performs the most complex and strategically critical assignments across their functional areas
Makes critical decisions on issues that shape future strategies
Acts as a key voice for the organization, in decisions with significant risk/opportunity for the organization, by providing expert counsel
Collaborates with team-members across the organization to intimately understand organizational operations and shares ideas for developing new initiatives and for future process improvements
Supports the CEO in leading the organization and in making strategic changes with organization-wide impact
Sets the people strategy for the organization, leads the HR, Accounting, IT, and Admin departments and oversees work on large consultant projects; supervises the implementation and maintenance of operational policies and procedures
Ensures that comprehensive human resources training programs are implemented to create and maintain a skilled, committed, and diverse workforce, capable of addressing the changing needs of a high performing and fast-growing global organization
Oversees the development and implementation of recruitment and retention policies, procedures, and practices committed to building a culture with a human-centered approach, filled with caring, belonging, and global perspectives, all in alignment with the organization’s strategic goals. Supervises compliance and reporting processes required by law and provides oversight on all information, data, and reports related to human resources and finance
Creates and establishes yearly financial objectives in support of the organizational strategic plan
Oversees the development and maintenance of capital and operating budgets. Assesses and evaluates the financial health of the organization regarding long-term operational goals, budgets, and forecasts. Provides insight and recommendations for both short-term and long-term growth plans, effectively and clearly communicating potential risks in a timely manner
Builds and maintains visibility with an external network and shows ability to influence external partners at senior and executive levels
Represents The Max Foundation in the absence of the CEO and serves as an external spokesperson on occasion
Success profile in these specific areas:
Demonstrated tenure of non-profit leadership, financial oversight, HR compliance, and global accounting in a cross-functional admin team
Aligned with and passionate about Max’s mission, vision, and culture; models cultural behaviors
Oversees HR policy and procedure development and ensures compliance with all relevant labor laws and regulations. Designs and implements equitable compensation strategy for organization and approves the timely distribution of wages for staff
Provides oversight and approval for establishing and interpreting the policies, procedures, and goals of the organization; Supervises workforce development plans and staff skill-building
Proven ability to deliver all fiscal reporting activities for the organization including revenue, expense, balance sheet, as well as external reporting to funding and regulatory agencies. Oversees all purchasing and payroll activities
Manages the activities of independent auditors ensuring all audit issues are resolved and all 401(k) compliance issues are met. Ensures that annual financial statements are prepared in accordance with U.S. GAAP and federal, state, and other required supplementary schedules and information
Establishes and oversees the implementation of internal controls, financial policies and procedures, and all human resources, administrative, and IT systems to ensure that the organization’s day-to-day operational activities are efficient, effective, and in line with approved strategic initiatives and budgetary allocations
Assesses and oversees the acquisition of new systems and software to provide critical financial and operational information; continually evaluates departments and makes suggestions for automating processes and increasing work efficiency
Directs the management of all leases, contracts, insurance, and other financial commitments; Enforces risk management policies and procedures to minimize organizational risk
Qualifications:
15+ years of experience in the not-for-profit space, preferably in the global health industry, with 3+ years at the Vice President level; leadership for a cross-functional admin team preferred
Bachelor’s Degree in Human Resources Management, Accounting, Finance, Public Administration, or similar field required; Advanced degree or relevant certification preferred
Expertise in global, not-for-profit HR and Accounting compliance and reporting
Excellent analytical skills and proven ability to make critical decisions
Advanced project and people management skills and ability to navigate in a global environment with a solid track-record of following through on commitments
Experience working in a global and multicultural capacity across time zones and among diverse team
Excellent written and verbal English communication skills; written and verbal fluency in French, Spanish, or another language, a plus
Willing and able to travel domestically or internationally, on occasion
