Accounting Manager

Health Alliance International (HAI) is an independent 501 c (3) non-profit organization that also functions as a center for the University of Washington’s Department of Global Health. Its mission is to promote policies and support programs that strengthen government primary health care and foster social, economic, and health equity for all. As an independent non-profit, HAI receives and manages funding directly from donors such as CDC, USAID, the Doris Duke Charitable Foundation and others. HAI HQ staff in Seattle are responsible for managing global field operations in 3 countries including Mozambique, Timor-Leste and Cote d’Ivoire. Field operations are staffed by approximately 152 HAI employees working in these countries. HAI operates its own in-house accounting, HR, and grants management departments, all of which work both with, and independently from, the University of Washington system. HAI is also required to contract with an outside audit firm to perform an A-133 audit as we receive federal funds for our activities.

The Accounting Manager will assist the Director of Finance to manage the accounting for the Seattle Headquarters office. Other duties include maintaining award financial requirements, audit preparation and coordination, expatriate payroll, and maintaining financial documents.

The position reports to the Director of Finance. This position requires an individual capable of exercising independent judgement, seeking out advice and guidance when necessary, and is accountable and responsible for decisions and work performed. This position requires a current working knowledge of GAAP, 2CFR200 and experience in non-profit accounting. This position will work with two other accountants in Seattle with primary responsibilities for international accounting transactions. The accounting team works in partnership with grants, human resources and program staff to ensure effective accounting management controls are followed, ensure that the organization is in compliance with legal and donor requirements, and is responsible for maintaining an accounting system capable of providing quality financial information required to support HAI’s global mission.

Duties and Responsibilities:
Headquarters Accounting
• Prepare deposit, disbursement and general journal entries for HQ transactions – review of documentation, coding and proper authorization and allocation of costs.
• Maintain balance sheet account reconciliations across the organization. Ensure timely resolution of payables, receivables and advances. Maintain accurate accounting for various assets and liabilities.
• Manage cash transfers, federal cash draws and international cash requests.

Grant Accounting Maintenance
• Maintain a working knowledge of all accounting requirements for donor awards including reporting schedules, audit requirements, banking requirements, etc.
• Maintain a database of awards including relevant dates, responsibilities, donor reporting requirements and ensure timely completion of donor financial reports.
• Assist in development/review of budgets for new grant applications.
• Respond to ad hoc financial information/budget requests.
• A-133 Audit preparation
• Assist Director of Finance to prepare client schedules prior to audit, answering questions during audit and responding to follow-up questions.
• Request and review financial reports from field office for audit requirements (i.e., inventory reports, documents, etc.)
• Respond to audit inquiries regarding transactions and supporting documentation as necessary and follow-up on open items as necessary.

• Prepare monthly expatriate and consultant payroll for reporting to ADP.
• Communicate with expatriate staff and HR to process allowances/benefits.
• Prepare reports related to payroll, workers compensation, unemployment, W-2, 1099, etc
• Maintain payroll records as required.

Other Duties
• Assist in maintaining policies, procedures, forms and job aids for the Finance team.
• Assist in preparing materials for Finance Committee meetings, Annual budget process, Financial Statements and ad hoc analysis of financial data.
• Provide ongoing technical supervision regarding the use of the accounting program or treatment of accounting transactions.
• Mentoring field accounts staff.

• Minimum of 5 years of non-profit accounting experience required.
• Undergraduate degree in accounting or equivalent.

• Experience with Sage50 accounting software.
• Experience with federal grant financial reporting and compliance requirements.
• Accounting experience in an international non-profit environment.
• Proficiency in French or Portuguese language preferred.
